Children's Privacy Notice
This notice explains how Top Velocity Performance Centers ("TopVelocity," "we") collects and uses personal information from athletes under 13, as required by the Children's Online Privacy Protection Act (COPPA). It adds to our Privacy Policy.
Operator: Top Velocity Performance Centers, 17588 Hard Hat Dr., Covington, LA 70435 · info@topvelocity.org. Licensed Performance Centers and teams that invite a child to our platform can see that child's training information, but TopVelocity operates the platform and is responsible for this notice.
1. A parent must approve first
Everyone who creates or opens an athlete account is asked for a date of birth. If the athlete is under 13, the account cannot be used until a parent or legal guardian approves it, in one of two ways:
- At checkout: the parent completes signup, confirms they are the parent or guardian, consents, and pays with their own payment card.
- By email: we email the parent a link to this notice and a consent form. After the parent approves, we send a confirmation email (and a second one the next day) with a link to withdraw consent if they did not approve.
Until a parent approves, the account cannot be used, so no training information, videos or messages are collected from the child; we use the parent's email address only to ask for consent. If a new account isn't approved within 30 days, we deactivate it and delete the parent's email address; a parent can ask us to delete everything at any time.
2. What we collect from children
- Name, email, password, and optionally a phone number.
- Date of birth, height, weight, position, team and organization.
- Training information: throwing or hitting measurements, workouts completed, program progress, evaluations and course or exam results.
- Videos or photos of the child training, uploaded by the child, the parent or a coach, and the body-position data our software extracts from them. We do not use facial recognition.
- Arm pain or soreness answers and injury notes, used only to adjust training and recommend rest or a professional evaluation.
- Messages with coaches, with our support team, and with our AI training assistant.
- Technical information needed to keep the account signed in and secure (such as IP address and session cookies).
3. How we use it
Only to provide the training service: analyzing mechanics, building and adjusting the child's program, letting their coaches support them, safety checks, account support, and keeping the Services secure. We do not show children targeted advertising, do not load advertising pixels for signed-in minors, and do not send marketing messages to children. We do not use children's information to train AI models unless a parent gives separate, optional consent.
4. Who receives it
- The child's coaches and organization (if the child was invited by a Performance Center or team).
- Service providers that run parts of the Services for us and may use the information only to do so: hosting and video storage, payment processing (Stripe), email and text-message delivery, and AI providers that analyze videos and draft coaching replies. We require these providers to protect the information.
- Where required by law or to protect a child's safety.
We do not sell children's personal information. Featuring a child's name, photo or video in our marketing requires a separate, optional parental consent; a parent can consent to collection without agreeing to that.
5. How long we keep it
We keep a child's information only while the account is active and needed for training. When a parent asks us to delete it, we delete it within 30 days, except records the law requires us to keep (such as payment records and the consent record itself). We review closed accounts every year and delete children's information we no longer need.
6. Parents' rights
A parent or guardian can, at any time:
- review the personal information we hold about their child;
- ask us to correct or delete it;
- withdraw consent and stop further collection or use (the account is then locked); and
- agree to collection and use while refusing disclosure to third parties that aren't necessary to run the service.
Email info@topvelocity.org from the email address you used to give consent, or use the link in your confirmation email. We verify the request comes from the parent before acting on it.
7. Security
We protect children's information with reasonable safeguards, including encrypted connections, hashed passwords and sign-in tokens, access limits for staff and coaches, and two-step verification for organization administrators.
